The standing terms for Long Drive Club. They govern every booking, membership and activity we run.

INTRODUCTION AND ACCEPTANCE
These Terms and Conditions ("Terms") set out the basis on which LDC provides its golf activities, convoy driving experiences on open roads, membership services, and related facilities (together, the "Services") to you. They form the single, authoritative source governing the relationship between LDC and its customers and members.
Please read these Terms carefully before using any of our Services. By making a booking, applying for membership, participating in any activity, or otherwise using our Services, you confirm that you have read, understood, and agree to be bound by these Terms. If you do not agree to these Terms, you must not use our Services.
These Terms apply to all Services provided by LDC whether booked online, by telephone, in person, or by any other method. Where specific activities have additional rules or requirements, those rules form part of these Terms and will be drawn to your attention at or before the time of booking or participation.
Where you book or apply for Membership online, you will be asked to confirm your acceptance of these Terms before completing your booking or application. This may be done by selecting a button such as “Continue”, “Book and Pay”, “Confirm Booking”, or by ticking an acceptance box. Where the relevant page states that selecting a button means you agree to these Terms, selecting that button constitutes your acceptance of these Terms.
LDC may record the date, time, method, page, and version of the Terms accepted by you when you make a booking, apply for Membership, or otherwise proceed through LDC’s online booking process.
Certain provisions of these Terms are particularly important, including those relating to eligibility, cancellation, refunds, health and safety, open-road driving, insurance, risk acknowledgments, limitation of liability, and conduct. LDC may highlight these provisions during the booking journey or in pre-event communications, but they form part of these Terms whether set out in full or summarized.
Nothing in these Terms affects your statutory rights as a consumer. Where any provision of these Terms conflicts with your mandatory statutory rights, those rights shall prevail.
1. DEFINITIONS AND INTERPRETATION
In these Terms, unless the context requires otherwise, the following expressions have the meanings set out below:
"Activity" means any golf activity, convoy driving experience, event, or other service provided or organised by LDC.
"Booking" means a confirmed reservation for an Activity or Service made in accordance with these Terms.
"Booking Confirmation" means the written confirmation (including by email) issued by LDC confirming the details of your Booking.
"Convoy Drive" means an organised group driving experience on public roads coordinated by LDC, in which participants drive in a planned formation along a pre-determined route.
"Convoy Leader" means an individual appointed by LDC to lead, coordinate, or marshal a Convoy Drive.
"Cooling-Off Period" means the period of 14 calendar days beginning on the day after the date on which a distance or off-premises contract is entered into, as provided by the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013.
"Course" means any golf course, practice facility, or related grounds operated or used by LDC for the provision of Golf Activities.
"Facilities" means any buildings, car parks, changing rooms, clubhouse areas, or other premises operated or made available by LDC.
"Golf Activities" means all golf-related services provided by LDC, including but not limited to rounds of golf, lessons, practice sessions, competitions, and use of practice facilities.
"Guest" means a person introduced by a Member or customer to use the Services who is not themselves a Member.
"LDC" means the legal entity trading as LDC and identified on the Website, in the Booking Confirmation, or in the Membership confirmation as the provider of the relevant Services (also referred to as "we", "us", or "our"). Before these Terms are published, LDC must insert its full registered company name, company number, and registered office address.
"Member" means a person who holds a current and valid Membership.
"Membership" means a subscription entitling the holder to access Services and benefits as described in the applicable Membership category.
"Participant" means any person taking part in an Activity, whether as a Member, Guest, or pay-as-you-go customer.
"Privacy Notice" means LDC's privacy notice as published on its website and updated from time to time, which explains how personal data is collected, used, and protected.
"Route" means the planned itinerary for a Convoy Drive, including the designated roads, stops, meeting points, and finishing point.
"Services" means all activities, memberships, bookings, facilities, and services of any kind provided by LDC.
"Vehicle" means the motor vehicle driven by a Participant during a Convoy Drive.
"Website" means LDC's website, mobile booking page, or other online platform through which LDC publishes information about its Services or accepts Bookings or Membership applications.
1.1 In these Terms:
(a) references to "you" and "your" are to the customer, Member, or Participant (as applicable);
(b) references to legislation include any amendment, re-enactment, or subordinate legislation made under it from time to time;
(c) headings are for convenience only and do not affect interpretation;
(d) words in the singular include the plural and vice versa;
(e) a reference to writing includes email and other electronic communication.
2. MEMBERSHIP
2.1 Membership Categories
LDC offers the following categories of Membership:
LDC offers the following Membership categories unless different categories are stated on the Website or in your Membership application: Standard Membership (no fees apply), which provides access to LDC’s general member benefits and selected golf, driving, and social activities; Premium Membership (fees to be agreed in advance), which provides enhanced access, priority booking, and any additional benefits stated at purchase; and Corporate Membership (fees to be agreed in advance), which is available to business customers for nominated individual users only. The specific fees, benefits, restrictions, minimum term, and renewal arrangements for each Membership category will be stated before you join and in your Membership confirmation. By confirming a place on an LDC event, you agree to be bound by the terms and requirements of Standard Membership for the purposes of that event unless LDC confirms in writing that a different Membership category applies.
Full details of the benefits, access rights, and restrictions applicable to each Membership category are available on our Website and on request.
2.2 Eligibility and Application
To be eligible for Membership you must:
- be at least 25 years of age;
- complete the Membership application form in full and provide accurate information;
- agree to these Terms and any supplemental membership rules;
- pay the applicable Membership fee in full or set up a valid recurring payment method.
Unless LDC states a higher age requirement for a particular Membership category or Activity, Membership is available only to persons aged 25 or over.
LDC reserves the right to refuse any application for Membership at its discretion without giving reasons, provided that no refusal shall be made on any unlawful discriminatory ground.
2.3 Membership Term and Renewal
Unless otherwise stated at the time of purchase:
- Annual Memberships run for a period of 12 months from the date of activation and will automatically renew for successive 12-month periods unless cancelled in accordance with clause 2.6.
- Monthly Memberships run on a rolling monthly basis from the date of activation and will continue until cancelled in accordance with clause 2.6.
Unless otherwise stated in your Membership confirmation, Annual Membership has an initial term of 12 months and Monthly Membership has an initial term of one month. LDC will give at least 30 days’ written notice of any increase in Membership fees or material change to Membership benefits. If a price increase or material change would be to your significant disadvantage, you may cancel in accordance with clause 13.3.
2.4 Digital Access Credentials
On acceptance of your application, LDC will issue you with a digital access credential. Your digital access credential is personal to you, is not transferable, and must not be shared with or used by any other person.
You must present or use your digital access credential when requested by LDC staff or when required by LDC’s booking, check-in, or access systems. LDC may refuse access to any person who cannot produce or validate a current digital access credential.
Lost, compromised, misused, or inaccessible digital access credentials must be reported to LDC immediately. LDC may suspend or reissue a digital access credential where it reasonably considers this necessary for security, fraud prevention, or access-control purposes.
LDC may require reasonable verification of your identity before reissuing or reactivating a digital access credential.
2.5 Guests
Members may introduce Guests to use certain Services subject to availability and payment of the applicable guest fee. The introducing Member is responsible for ensuring that their Guest complies with these Terms and all applicable rules. LDC reserves the right to limit the number of guest visits.
Unless LDC states otherwise, each Member may introduce Guests only where space is available and the applicable guest fee has been paid. LDC may refuse or limit Guest access for safety, capacity, event, disciplinary, or operational reasons. Guests must accept these Terms before participating in any Activity, and Members are responsible for ensuring that Guests are made aware of all applicable rules.
2.6 Cancellation of Membership
You may cancel your Membership at any time by giving written notice to LDC:
- For Annual Memberships: by giving not less than 30 days’ written notice before the end of the current Membership period. No refund will be given for the unexpired portion of a paid annual period except where required by law or where LDC agrees otherwise in writing.
- For Monthly Memberships: by giving not less than 30 days’ written notice. Your Membership will terminate at the end of the next monthly billing period following receipt of your notice.
If you cancel a distance or off-premises contract within the Cooling-Off Period, you are entitled to a full refund of Membership fees paid, less a proportionate amount for any Services that you requested to start and were provided during the Cooling-Off Period.
2.7 Suspension and Termination by LDC
LDC may suspend or terminate your Membership immediately or on notice if:
- you breach these Terms or any applicable rules and, where the breach is capable of remedy, fail to remedy it within 14 days of written notice;
- your behaviour poses a risk to the health or safety of any person;
- you are abusive, threatening, or engage in harassment of staff, other Members, or any other person;
- you attend any Activity or Facility while under the influence of alcohol or drugs to an extent that, in LDC's reasonable opinion, affects your ability to participate safely or causes a nuisance;
- you commit or are reasonably suspected of committing any criminal offence on LDC premises or during an Activity;
- you fail to pay any sum due to LDC within 14 days of a written reminder;
- you provide false or misleading information in your application or health declaration.
Where termination is for cause, no refund of Membership fees will be due except where required by law. Where LDC suspends your Membership pending investigation, and the investigation finds no wrongdoing, LDC will credit you for the period of suspension.
3. BOOKING AND RESERVATIONS
3.1 Making a Booking
Bookings for Activities may be made through the Website, by telephone, by email, or in person at an LDC venue. A Booking is not confirmed until you have received a Booking Confirmation from LDC.
By making a Booking, you are making an offer to purchase the relevant Service. LDC is not obliged to accept any Booking and may decline at its discretion.
Bookings may be made through the Website, by email, by telephone, or in person where LDC makes those methods available. LDC may open or close bookings at different times for different Activities and may require advance booking, payment in full, a deposit, or completion of participant information before confirming a Booking.
3.2 Booking Confirmation
Once LDC accepts your Booking, you will receive a Booking Confirmation setting out the date, time, location, Activity type, any special requirements, and the total price payable. Please check your Booking Confirmation carefully and notify LDC immediately of any errors.
3.3 Amending a Booking
If you wish to amend a confirmed Booking (for example, to change the date, time, or number of Participants), you must contact LDC as soon as possible. Amendments are subject to availability and may incur an administration fee.
Unless LDC states otherwise in the Booking Confirmation, amendments requested more than 7 days before the Activity date may be made without an administration fee, subject to availability. Amendments requested 7 days or less before the Activity date are subject to availability and may be refused or made subject to a reasonable administration fee notified to you before the amendment is made.
3.4 Cancellation by You
If you wish to cancel a confirmed Booking, the following cancellation policy applies:
Unless a different cancellation policy is stated in your Booking Confirmation, the following cancellation policy applies: more than 28 days before the Activity date: full refund; more than 14 days but 28 days or less before the Activity date: 50% refund; 14 days or less before the Activity date: any refund or credit is at LDC’s discretion, except where a refund is required by law.
Cancellations must be made in writing (including by email) to LDC. The date of cancellation is the date on which LDC receives your written notice.
Where a Booking is made as a distance or off-premises contract, your statutory cancellation rights will apply unless an exception applies. Some leisure Activities to be provided on a specific date or during a specific period may not carry a 14-day cooling-off right. Where the Cooling-Off Period applies and you cancel within it, you are entitled to a refund, except that if you expressly requested that Services begin during the Cooling-Off Period, LDC may charge you a proportionate amount for Services already provided before cancellation.
3.5 Cancellation or Changes by LDC
LDC reserves the right to cancel, reschedule, or modify any Activity where:
- adverse weather conditions or Course/road conditions make the Activity unsafe;
- insufficient Participants have booked to make the Activity viable;
- LDC is prevented from providing the Activity by circumstances beyond its reasonable control (force majeure);
- there is a risk to health and safety.
Where LDC cancels an Activity, you will be offered, at your choice, either an alternative date or a full refund of all sums paid for that Booking. LDC will not be liable for any consequential costs or losses arising from such cancellation (such as travel or accommodation costs), except where required by law.
LDC may set minimum or maximum group sizes for any Activity. Unless stated otherwise in the Booking Confirmation, Convoy Drives may be cancelled or rescheduled if LDC reasonably considers that the number of confirmed Participants is too low or too high for the Activity to be run safely, lawfully, or viably.
3.6 No-Shows
If you fail to attend a booked Activity without prior notice (a "no-show"), you will be charged the full price of the Booking and no refund will be given.
A no-show occurs where you fail to attend at the required arrival time, fail to bring required documents or equipment, or are refused participation because you do not meet the stated eligibility or safety requirements. In those circumstances LDC may retain the full Booking price, except where a refund is required by law.
3.7 Third-Party Venues and Providers
Some Services may involve third-party venues, golf courses, instructors, photographers, restaurants, hotels, car parks, payment providers, recovery providers, or other suppliers. You must comply with any reasonable rules imposed by those third parties and notified to you. LDC is responsible for the Services it agrees to provide to you, but is not responsible for independent third-party services except where LDC is legally responsible for them or has expressly agreed to provide them as part of your Booking.
4. PAYMENT TERMS
4.1 Pricing
All prices are as quoted on the Website, in LDC's published price list, or as otherwise confirmed in writing at the time of Booking. Prices are stated inclusive of VAT (where applicable) unless expressly stated otherwise.
LDC reserves the right to change its prices at any time, but price changes will not affect Bookings already confirmed at the time of the change. Changes to Membership fees will be notified to Members in writing not less than 30 days before taking effect.
The current prices for Memberships, Activities, guest fees, equipment hire, deposits, and any applicable administration charges will be displayed on the Website or otherwise notified to you before you complete your purchase.
4.2 Payment Methods
LDC accepts the following methods of payment:
LDC may accept payment by credit card, debit card, direct debit, bank transfer, or approved online payment provider. The payment methods available for a particular purchase will be shown at checkout or confirmed before payment is taken.
Full payment is required at the time of Booking unless LDC has expressly agreed otherwise in writing or a deposit arrangement applies.
Where LDC allows a deposit, the Booking Confirmation will state the deposit amount, whether it is refundable, the balance due date, and the consequences of non-payment. Unless stated otherwise, the balance must be paid in full no later than 14 days before the Activity date, and LDC may cancel the Booking if the balance is not paid on time.
Where payment is made online, the final payment button will make clear that confirming the order involves an obligation to pay, for example by using wording such as “Book and Pay”, “Pay Now”, or “Start Membership and Pay”.
4.3 Recurring and Subscription Payments
Where you have a Monthly Membership or other recurring subscription, you authorise LDC to collect payment on a recurring basis using the payment method you have provided. You must ensure that your payment details are kept up to date.
If a recurring payment fails, LDC will notify you and allow a reasonable period (not less than 7 days) for you to update your payment details or make payment by an alternative method. If payment remains outstanding after this period, LDC may suspend your Membership or access to Services.
4.4 Late Payment
If any sum due to LDC is not paid by the due date, LDC reserves the right to:
- charge interest on the overdue amount at a rate of 4% per annum above the base rate of the Bank of England from time to time (accruing daily);
- suspend your Membership or access to Services until payment is received;
- refer the debt for recovery and charge you the reasonable costs of such recovery.
4.5 Refunds
Refunds will be processed in accordance with the cancellation provisions set out in these Terms. Where a refund is due, LDC will process it within 14 days using the same payment method originally used, unless you agree otherwise.
No refund will be given for:
- non-attendance or failure to complete an Activity for reasons within your control;
- Membership periods already elapsed;
- Activities already provided in full;
- cancellations made outside the permitted cancellation window (unless required by law).
4.6 Gift Vouchers and Credits
Gift vouchers and account credits are subject to any additional terms stated at the time of issue. Unless otherwise stated, gift vouchers are valid for 12 months from the date of issue, are not exchangeable for cash, and are non-transferable except as a gift.
Gift vouchers and credits may be redeemed only against eligible LDC Services and cannot be used after their expiry date. Vouchers and credits cannot be exchanged for cash, resold, or used to purchase further vouchers. LDC is not responsible for lost, stolen, or misused vouchers except where caused by LDC’s fault.
5. GOLF ACTIVITIES
5.1 General Rules of Use
All Participants in Golf Activities must comply with these Terms, any local rules displayed at the Course, and any reasonable directions given by LDC staff. LDC reserves the right to refuse access to any person who does not comply.
Venue-specific and Course-specific local rules will be displayed at the relevant venue, provided with the Booking Confirmation, or notified during the Activity briefing. Such rules form part of these Terms, and LDC may refuse access or require you to leave if you do not comply with them.
5.2 Equipment
You are responsible for providing your own golf equipment unless LDC has agreed to provide equipment as part of a Booking. Where LDC provides hire equipment, you must use it with reasonable care and return it in the condition in which it was provided (fair wear and tear excepted). You will be liable for loss of or damage to hire equipment caused by your negligence or misuse.
Equipment hire charges, deposit requirements, and any damage or loss charges will be notified to you before hire. You are responsible for loss of, or damage to, hired equipment caused by your negligence, misuse, or failure to follow instructions, but you will not be responsible for fair wear and tear.
5.3 Dress Code
Participants must comply with LDC's dress code when using the Course and Facilities. The current dress code requires:
Unless LDC or the relevant venue states otherwise, appropriate golf attire is required. This may include collared or golf-style shirts, tailored trousers or shorts, suitable golf shoes or clean sports shoes, and weather-appropriate clothing. Denim, football shirts, offensive slogans, and clothing or footwear that may damage the Course or create a safety risk may be refused.
LDC reserves the right to refuse access to any Participant whose attire does not meet the dress code.
5.4 Etiquette and Pace of Play
Participants are expected to observe proper golf etiquette at all times, including but not limited to:
- maintaining an appropriate pace of play and allowing faster groups to play through where applicable;
- repairing divots, pitch marks, and bunker disturbance;
- remaining quiet and still when other players are making a stroke;
- not using mobile phones on the Course (except in case of emergency);
- observing all safety practices, including calling "fore" when a ball may strike another person.
5.5 Course Availability and Closures
LDC will make reasonable efforts to keep the Course and Facilities available as advertised. However, LDC reserves the right to close or restrict access to all or part of the Course at any time for reasons including but not limited to adverse weather, essential maintenance, competitions, or health and safety concerns.
Where a closure prevents you from using a confirmed Booking, the provisions of clause 3.5 (Cancellation or Changes by LDC) shall apply.
5.6 Competitions and Events
Competitions and events may be subject to additional rules and entry requirements which will be notified to Participants in advance. The decision of LDC (or its appointed referee) on any matter relating to a competition shall be final, subject to the applicable rules of golf.
LDC will notify Participants of any competition rules, handicap requirements, entry fees, eligibility conditions, scoring rules, prize policies, and tie-break procedures before entry. LDC may withhold or substitute a prize where a Participant has breached these Terms, the competition rules, or applicable laws.
5.7 Buggies and Trolleys
The use of golf buggies and trolleys is subject to availability and any restrictions imposed by LDC. Buggy users must hold a valid driving licence, comply with all usage instructions, and drive at a safe speed. LDC may restrict or prohibit buggy use in adverse conditions.
Buggy and trolley hire charges, age requirements, licence requirements, and any deposit or damage charges will be notified to you before hire. Unless LDC states otherwise, buggy drivers must be at least 25 years old, hold a valid driving licence, use the buggy only on permitted routes, and comply with all safety instructions.
6. DRIVING ON OPEN ROADS
6.1 Nature of Convoy Drives
Convoy Drives take place on public roads which are open to other road users. LDC provides route planning, convoy coordination, and the services of a Convoy Leader. LDC does not provide driving instruction, racing, timed driving, or competitive driving of any kind. The Convoy Drive is a social and leisure experience only.
You acknowledge that driving on public roads involves inherent risks which cannot be entirely eliminated, and that you participate in any Convoy Drive entirely at your own risk (subject to clause 8, Limitation of Liability).
For Convoy Drives, LDC may require you to provide separate online or event-day confirmation that you have read and understood the driving, insurance, safety, risk, and participant declaration requirements. LDC may refuse participation if that confirmation is not provided.
6.2 Eligibility and Licence Requirements
To participate in a Convoy Drive, you must:
- be at least 25 years of age, unless LDC states a higher minimum age for a particular Convoy Drive;
- hold a full, valid, and current driving licence issued in the United Kingdom (or an equivalent licence recognised for driving in England and Wales) appropriate to the class of Vehicle being driven;
- produce your driving licence for inspection by LDC staff before the start of the Convoy Drive;
- not have any driving ban, disqualification, or pending prosecution that would make it unlawful for you to drive;
- not have more than 6 penalty points on your licence, unless LDC has expressly agreed otherwise in writing after reviewing the relevant circumstances;
You must have held a full driving licence for at least 2 years unless LDC states otherwise in writing. LDC may refuse participation if you cannot produce satisfactory evidence of your licence, driving history, identity, or eligibility, or if LDC reasonably considers that your participation would create an unacceptable safety, insurance, or legal risk.
6.3 Vehicle Requirements
Unless LDC expressly provides a Vehicle for your use, you must drive your own Vehicle on a Convoy Drive. Your Vehicle must:
- be roadworthy and in a safe mechanical condition;
- hold a valid MOT certificate (where applicable);
- be taxed for road use;
- be covered by a valid motor insurance policy providing at minimum the cover required by law (and you must ensure that participating in a convoy driving experience does not invalidate your insurance);
- not be subject to any SORN (Statutory Off Road Notification).
LDC reserves the right to inspect any Vehicle before a Convoy Drive and to refuse participation to any Vehicle that, in its reasonable opinion, is not roadworthy or does not meet the requirements of this clause.
Unless LDC states otherwise, Vehicles must be road-legal private cars suitable for ordinary public-road use. LDC may refuse any Vehicle that is excessively noisy, visibly unsafe, leaking fluids, carrying unsafe modifications, using unsuitable tyres, lacking number plates or lights required by law, or otherwise unsuitable for the Route, weather, or Activity. You are responsible for ensuring that your Vehicle has sufficient fuel or charge and suitable breakdown cover for the whole Route.
6.4 Insurance
Subject always to LDC’s non-excludable legal duties, it is your responsibility to ensure that your Vehicle is insured for participation in a Convoy Drive. You must check with your insurer that your policy covers participation in an organised convoy driving experience on public roads and that the activity does not invalidate or restrict your cover. LDC does not provide motor insurance cover for Participants' Vehicles and accepts no liability for any loss, damage, or claims arising from your inadequate, invalid, or restricted insurance, except to the extent caused by LDC’s negligence or other breach of legal duty.
You agree to indemnify LDC against third-party claims, fines, penalties, losses, or costs arising from your failure to maintain adequate insurance, your unlawful driving, your breach of these Terms, your negligence, or any false or misleading information you provide, except to the extent the claim, loss, or cost is caused by LDC’s negligence or other breach of legal duty.
Before a Convoy Drive, LDC may require you to provide evidence of insurance, MOT status, vehicle tax, vehicle registration, driving licence, identity, emergency contact details, and any other information reasonably required for safety, administration, or insurance purposes. LDC may refuse participation if satisfactory evidence is not provided.
6.5 Health and Fitness
You must be in a fit and proper condition to drive safely. You must not participate in a Convoy Drive if:
- you are under the influence of alcohol, drugs (whether illegal or prescription/over-the-counter medication that may impair driving), or any other substance that may affect your ability to drive safely;
- you are suffering from any medical condition, illness, injury, or fatigue that may impair your ability to drive safely;
- you have any disability or condition that may affect your driving unless you have disclosed it to LDC in advance and LDC has confirmed your participation.
You must complete a health and fitness self-declaration before each Convoy Drive. If LDC reasonably believes that you are not fit to drive, LDC may refuse your participation and no refund will be due (except at LDC's discretion).
LDC will consider reasonable adjustments for disabilities, medical conditions, access needs, or other individual circumstances where you notify LDC in advance. LDC may refuse or restrict participation where, after considering any reasonable adjustments, it reasonably considers that participation cannot be managed safely or lawfully.
6.6 Safety Rules and Conduct
During any Convoy Drive, you must:
- comply at all times with the Highway Code, all road traffic laws, speed limits, and any other legal requirements applicable to driving on public roads in England and Wales;
- follow all reasonable instructions and directions given by the Convoy Leader or LDC staff;
- drive at a speed and in a manner appropriate to the road conditions, traffic, and your own ability, regardless of the speed of other Participants;
- maintain a safe following distance from other Vehicles in the convoy;
- not use a handheld mobile phone or other handheld device while driving;
- wear a seatbelt at all times (and ensure all passengers do likewise);
- stop immediately if you consider it unsafe to continue, regardless of what other Participants are doing;
- pull over and stop if directed to do so by the Convoy Leader, LDC staff, or any emergency service or police officer;
- not overtake dangerously, drive on the wrong side of the road, jump red lights, or commit any driving offence;
- not engage in racing, competitive driving, timed driving, or any attempt to keep up with or follow the convoy where doing so would require breaking the law or driving beyond your ability.
- You must attend and comply with any safety briefing, route briefing, convoy instructions, radio or communication protocol, and written route notes provided by LDC. Those briefings, instructions, protocols, and route notes form part of these Terms for the relevant Convoy Drive.
- LDC may alter, shorten, pause, split, reroute, postpone, or abandon a Convoy Drive at any time where LDC reasonably considers it appropriate for safety, legal, traffic, weather, operational, welfare, police, emergency-service, road-closure, or vehicle-breakdown reasons.
- No route plan, convoy instruction, radio message, signal, conduct of the Convoy Leader, or action of another Participant is an instruction, permission, or encouragement to exceed speed limits, contravene traffic signs, drive dangerously, use a handheld device while driving, or ignore the Highway Code or any road traffic law.
6.7 Responsibility for Driving Decisions
Subject always to LDC’s non-excludable legal duties, you remain responsible for the driving decisions you make during a Convoy Drive. LDC may provide route information, convoy coordination, safety instructions, and a Convoy Leader, but nothing said or done by LDC authorises or requires you to drive unlawfully, dangerously, or beyond your own ability.
If the convoy proceeds in a way that you consider unsafe — for example, if you would need to exceed a speed limit, jump a light, or drive dangerously to keep up — you must not follow. You are responsible for making safe, lawful, and independent decisions at all times.
You are solely responsible for any fines, penalties, fixed penalty notices, or prosecution arising from your driving during a Convoy Drive.
You are responsible for all fuel, electric charging, breakdown cover, vehicle recovery, parking charges, tolls, congestion charges, clean air or low-emission zone charges, repairs, and other costs relating to your Vehicle or your driving during a Convoy Drive, except to the extent caused by LDC’s negligence or other breach of legal duty.
6.8 Refusal and Removal
The Convoy Leader or any LDC staff member may, in their absolute discretion:
- refuse to allow you to participate before the start of a Convoy Drive;
- require you to leave the convoy at any point during a Convoy Drive,
if they reasonably believe that you pose a risk to your own safety or that of others, or that you are not complying with these Terms, the Highway Code, or any instructions given. Where removal is for safety reasons or breach of these Terms, no refund will be due.
6.9 Passengers
Passengers in your Vehicle during a Convoy Drive must wear seatbelts at all times. You are responsible for ensuring that any passenger in your Vehicle is aware of and agrees to the risks involved. No person under the age of 25 may travel as a passenger on a Convoy Drive without prior written consent of LDC. Where LDC exceptionally permits a passenger under the age of 18, parent or guardian consent is also required.
LDC may require each passenger to complete a passenger acknowledgment before the Convoy Drive. Passengers must not distract the driver, encourage unsafe driving, interfere with Vehicle controls, or behave in a way that creates a safety risk. LDC may refuse or remove any passenger where it reasonably considers this necessary for safety, legal, or operational reasons.
Before any Convoy Drive, each driver must complete LDC’s participant declaration confirming licence status, insurance, Vehicle roadworthiness, health and fitness to drive, sobriety, emergency contact details, and attendance at the safety briefing. LDC may refuse participation if the declaration is incomplete, inaccurate, or not provided.
7. HEALTH, SAFETY, AND LIABILITY WAIVERS
7.1 Acknowledgment of Risk
You acknowledge that participation in Activities (including both Golf Activities and Convoy Drives) involves inherent risks of injury, illness, or damage to property which cannot be entirely eliminated. By participating in any Activity, you confirm that you understand and voluntarily accept these risks.
For Convoy Drives specifically, you acknowledge that driving on public roads carries risks including (without limitation) the risk of collision with other vehicles, pedestrians, or objects; mechanical failure; adverse road or weather conditions; and the actions of other road users. These risks exist regardless of the precautions taken by LDC.
7.2 Health Declaration
You must complete a health declaration form before participating in any Activity for the first time, and must update LDC if your health circumstances change materially. You must disclose any medical condition, disability, allergy, or medication that could affect your ability to participate safely or that LDC should be aware of for safety purposes.
LDC may require a medical clearance certificate from your GP or specialist before allowing participation if, in its reasonable opinion, there is a concern about your fitness to participate.
7.3 LDC's Duty of Care
LDC will take reasonable care to ensure that Activities are organised and conducted safely, that Facilities are maintained in a reasonably safe condition, and that appropriate risk assessments are carried out. LDC owes you a duty to perform its Services with reasonable care and skill.
However, LDC cannot guarantee your safety and does not accept responsibility for risks that are inherent in the Activities and that cannot be eliminated by the exercise of reasonable care.
7.4 Your Responsibilities
You are responsible for:
- assessing your own fitness and ability to participate in any Activity;
- disclosing relevant health information as required by clause 7.2;
- following all safety instructions, rules, and guidance provided by LDC staff;
- using all equipment and Facilities safely and for their intended purpose;
- wearing appropriate clothing, footwear, and safety equipment as required;
- not participating if you know or ought reasonably to know that you are unfit to do so;
- reporting any hazard, injury, or safety concern to LDC staff immediately.
7.5 Minors
LDC does not ordinarily permit any person under the age of 25 to participate in Activities. Where LDC exceptionally permits a person under 25 to participate, LDC may impose additional eligibility, supervision, safeguarding, consent, insurance, and safety requirements. Any Participant under the age of 18 must have the written consent of a parent or legal guardian before taking part in any Activity.
LDC reserves the right to require a parent, guardian, or responsible adult to be present during any Activity involving a person under the age of 18, and to refuse participation where LDC’s age, consent, safeguarding, or safety requirements have not been met.
Unless LDC states otherwise, Participants must be at least 25 years old for adult Golf Activities and to drive in a Convoy Drive. Any person under 18 must have written parent or guardian consent, must provide emergency contact details, and may be required to be accompanied by a parent, guardian, or responsible adult. LDC’s safeguarding lead and safeguarding contact details will be published on the Website or otherwise made available before any Activity involving minors.
7.6 What These Terms Do Not Exclude
Nothing in these Terms excludes or limits LDC's liability for:
- death or personal injury caused by LDC's negligence (or the negligence of its employees or agents);
- fraud or fraudulent misrepresentation;
- any breach of the terms implied by sections 9, 10, 11, or 12 of the Consumer Rights Act 2015 to the extent that they cannot lawfully be excluded;
- any other liability that cannot lawfully be excluded or limited.
These protected liabilities are not affected by any other provision of these Terms.
8. LIMITATION OF LIABILITY
8.1 Protected Liabilities
The limitations and exclusions in this clause 8 do not apply to the protected liabilities set out in clause 7.6. Those liabilities remain unlimited.
8.2 Exclusion of Certain Losses
Subject to clause 8.1, LDC shall not be liable to you (whether in contract, tort (including negligence), breach of statutory duty, or otherwise) for:
- any indirect or consequential loss;
- any loss of profit, revenue, or business;
- any loss of anticipated savings;
- any loss of data or information;
- any loss of opportunity;
- any damage to or loss of your Vehicle during a Convoy Drive (except to the extent caused by the negligence of LDC, its employees, or agents);
- any fines, penalties, or charges imposed on you by any authority arising from your driving.
This exclusion of indirect and consequential losses reflects the fact that you are a consumer and LDC is not liable for any losses relating to any business of yours.
8.3 Cap on Liability
Subject to clauses 8.1 and 8.2, LDC's total aggregate liability to you under or in connection with these Terms (whether in contract, tort, or otherwise) in respect of any single event or connected series of events shall not exceed the greater of:
- the total amount paid or payable by you to LDC for the specific Booking or Membership period in respect of which the claim arises; or
- the sum of £1,000.
LDC has set this cap having regard to the nature of the Services, the fees paid by consumers, and the risks covered elsewhere in these Terms. LDC may specify a different cap for a particular Activity in the Booking Confirmation where this is fair, reasonable, and drawn to your attention before you book.
8.4 Your Liability to LDC
You shall be liable to LDC for any loss, damage, or costs suffered by LDC as a direct result of your breach of these Terms, your negligence, or your unlawful act, including but not limited to:
- damage to LDC's property, equipment, Facilities, or Course caused by you;
- third-party claims arising from your conduct during an Activity;
- costs arising from your failure to maintain adequate insurance for a Convoy Drive.
8.5 Force Majeure
LDC shall not be liable for any failure or delay in performing its obligations under these Terms to the extent that such failure or delay is caused by a Force Majeure Event, meaning any event beyond LDC's reasonable control, including but not limited to: acts of God, severe weather, flood, fire, epidemic or pandemic, strike or industrial action, civil disturbance, terrorism, war, government action or regulation, failure of utilities, or road closure.
If a Force Majeure Event continues for more than 30 days, either party may cancel any affected Booking by giving written notice, and LDC will refund any sums paid for Services not yet provided.
9. INTELLECTUAL PROPERTY
9.1 LDC's Intellectual Property
All intellectual property rights in the Services, Website, branding, logos, course designs, route plans, marketing materials, and any content created by or on behalf of LDC are and remain the property of LDC (or its licensors). Nothing in these Terms grants you any right, title, or interest in LDC's intellectual property.
You must not reproduce, distribute, modify, or make commercial use of any LDC intellectual property without LDC's prior written consent.
9.2 Photography and Filming
LDC or its appointed photographers may take general photographs, video footage, dashcam footage, or other recordings during Activities for safety, operational, training, record-keeping, promotional, marketing, or social media purposes. LDC will handle personal data in such recordings in accordance with its Privacy Notice. Where LDC wishes to use a clearly identifiable image of you prominently in paid advertising, testimonials, or other targeted promotional material, or where the image is of a minor, LDC will seek any additional consent that is required by law or that LDC considers appropriate.
You may take personal photographs and video during Activities for your own private, non-commercial use, provided that:
- doing so does not interfere with the Activity or the safety or enjoyment of other Participants;
- you do not photograph or film other Participants without their consent;
- you do not use such material for any commercial purpose without LDC's prior written consent.
LDC reserves the right to restrict photography or filming at any time for safety or operational reasons.
9.3 User Content
Where you submit reviews, testimonials, photographs, video, social media posts, or other content to LDC, you grant LDC a non-exclusive, royalty-free, worldwide licence to use, reproduce, edit, and publish that content for LDC’s legitimate business, marketing, and promotional purposes, subject to applicable data protection and advertising laws. You warrant that any content you submit is accurate, lawful, not misleading, and does not infringe any third party's rights.
10. DATA PROTECTION AND PRIVACY
10.1 How We Use Your Data
LDC collects and processes your personal data in accordance with its Privacy Notice, which is available at: longdriveclub.com/privacy [PRIVACY NOTICE URL TO BE CONFIRMED]
LDC’s Privacy Notice will be available on the Website and linked during the booking or Membership sign-up process. If the Privacy Notice is not available online, LDC will provide a copy on request before collecting your personal data.
By using our Services, you acknowledge that you have read and understood our Privacy Notice.
10.2 Data We Collect
In the course of providing the Services, LDC may collect and process personal data including (without limitation) your name, contact details, date of birth, driving licence details, health declaration information, payment information, and records of your Bookings and attendance.
For Convoy Drives, LDC may also collect and process your driving licence number, vehicle registration, insurance details, and emergency contact information. This data is collected for safety and administration purposes and is processed on the lawful bases set out in the Privacy Notice.
10.3 Marketing
LDC will only send you marketing communications where you have given your consent or where LDC is permitted to do so under applicable law (for example, where you are an existing customer and the marketing relates to similar products or services). You may withdraw your consent or opt out of marketing at any time by contacting LDC or using the unsubscribe facility in any marketing email.
Acceptance of these Terms is not consent to receive marketing communications. Where marketing consent is required, LDC will request it separately.
10.4 Your Rights
You have rights under data protection law, including the right to access, rectify, erase, restrict processing of, and port your personal data, and to object to certain processing. Full details of your rights and how to exercise them are set out in the Privacy Notice.

LDC’s Cookie Notice will be available on the Website. Where cookies or similar technologies require consent, LDC will request consent through the Website’s cookie controls.
11. CONDUCT AND BEHAVIOUR
11.1 Expected Standards
All Participants, Members, Guests, and visitors are expected to behave in a courteous, respectful, and responsible manner at all times while using the Services, attending Activities, or present at LDC Facilities.
11.2 Prohibited Conduct
The following conduct is strictly prohibited and may result in immediate suspension, removal, or termination of Membership without warning:
- violence, threatening behaviour, or intimidation towards any person;
- harassment, bullying, or discrimination of any kind (including on grounds of race, sex, disability, sexual orientation, religion, or age);
- being under the influence of alcohol or drugs to an extent that affects your behaviour, safety, or the enjoyment of others;
- use of illegal drugs on LDC premises or during an Activity;
- theft, fraud, or dishonesty;
- deliberate damage to property (including Course, Facilities, or other Participants' property);
- dangerous or reckless behaviour that puts yourself or others at risk;
- failure to comply with safety instructions from LDC staff;
- use of foul, abusive, or offensive language directed at others;
- bringing any weapon, dangerous item, or illegal substance onto LDC premises or to an Activity;
- any criminal conduct.
11.3 Alcohol
Alcohol must not be consumed before or during any Convoy Drive. Any Participant who, in the reasonable opinion of LDC staff, has consumed alcohol before a Convoy Drive will be refused participation and no refund will be given.
Responsible consumption of alcohol may be permitted at LDC social events and in designated Facility areas, but not in any circumstances where you will subsequently be driving or participating in an Activity requiring physical coordination.
11.4 Disciplinary Process
Where conduct does not warrant immediate removal, LDC may follow a graduated process:
- Stage 1: verbal warning from LDC staff;
- Stage 2: written warning setting out the conduct of concern and the consequences of repetition;
- Stage 3: suspension of Membership for a defined period;
- Stage 4: termination of Membership.
LDC is not obliged to follow this graduated process and may proceed to immediate suspension or termination where the conduct is sufficiently serious (including any conduct listed in clause 11.2 above).
11.5 Right to Remove
LDC staff have the right to require any person to leave LDC Facilities or to cease participation in an Activity immediately if, in their reasonable opinion, that person's conduct poses a risk to health and safety, is in breach of these Terms, or is causing a nuisance or disturbance to others. Failure to leave when asked may result in the involvement of the police.
12. COMPLAINTS AND DISPUTE RESOLUTION
12.1 Internal Complaints Procedure
If you are dissatisfied with any aspect of our Services, we encourage you to raise the matter with us as soon as possible so that we can try to resolve it. You may make a complaint by:
- speaking to a member of LDC staff at the time (for immediate concerns);
- emailing us at the complaints email address published on the Website or stated in your Booking Confirmation;
- writing to us at our registered office address or any other postal address for complaints published on the Website or stated in your Booking Confirmation.
We will acknowledge receipt of your written complaint within 5 working days and aim to provide a full response within 28 days. If we need additional time to investigate, we will let you know and keep you updated.
12.2 Alternative Dispute Resolution (ADR)
If we are unable to resolve your complaint through our internal process, you may wish to refer the matter to an alternative dispute resolution (ADR) provider. LDC will provide the name and website address of an appropriate certified ADR provider when issuing its final response to your complaint and will state at that time whether LDC agrees to use that provider for the dispute.
LDC will consider ADR in good faith, but nothing in these Terms requires you or LDC to use ADR unless both parties agree or LDC is required to do so by law or by membership of a relevant scheme.
Nothing in this clause prevents you from bringing proceedings in court if you prefer to do so.
12.3 Time Limits
While we encourage you to raise complaints promptly, nothing in these Terms imposes a contractual time limit for bringing a complaint or claim that is shorter than the limitation period provided by law.
13. AMENDMENTS TO TERMS
13.1 Right to Amend
LDC may amend these Terms from time to time for the following reasons:
- to reflect changes in applicable law, regulation, or guidance;
- to address health and safety concerns;
- to reflect changes in LDC's Services, operating procedures, or business structure;
- to improve clarity or correct errors.
13.2 Notice of Changes
Where LDC makes a material change to these Terms, it will give you not less than 30 days' written notice (by email or other written communication) before the change takes effect. The notice will describe the change and its effective date.
13.3 Your Right to Cancel on Material Change
If a material change to these Terms would be to your significant disadvantage, you may cancel your Membership or any affected Booking within 30 days of receiving notice of the change, without penalty. In such circumstances, LDC will refund any pre-paid fees attributable to the period after termination.
If you continue to use the Services after the effective date of a change, you will be deemed to have accepted the amended Terms.
13.4 Non-Material Changes
Non-material changes (such as corrections of typographical errors or minor clarifications that do not alter your rights or obligations) may be made at any time and will be effective upon publication on the Website.
14. GOVERNING LAW AND JURISDICTION
14.1 Governing Law
These Terms, and any dispute or claim (including non-contractual disputes or claims) arising out of or in connection with them or their subject matter or formation, are governed by and construed in accordance with the laws of England and Wales.
14.2 Jurisdiction
The courts of England and Wales have exclusive jurisdiction to settle any dispute arising out of or in connection with these Terms, save that:
- if you live in Scotland, you may bring proceedings in Scotland; and
- if you live in Northern Ireland, you may bring proceedings in Northern Ireland.
Nothing in these Terms affects your statutory rights as a consumer, including any mandatory protections provided by the law of the country in which you are habitually resident.

15.1 Contacting LDC
You may contact LDC by the following means:
LDC’s current contact details, including its registered office address, general enquiries email address, complaints email address, telephone number, Website, and opening hours, will be published on the Website and stated in relevant Booking Confirmations. LDC must keep those details accurate and up to date before accepting Bookings or Membership applications.
15.2 How We Contact You
LDC will contact you using the details you have provided in your Membership application, Booking, or most recent correspondence. It is your responsibility to keep your contact details up to date. Any notice sent by LDC to the last email or postal address you provided will be deemed validly given.
15.3 Notices
Any notice required to be given under these Terms must be in writing (which includes email). A notice sent by email is deemed received on the day it is sent (if sent on a Business Day before 5:00 pm) or on the next Business Day. A notice sent by first class post is deemed received on the second Business Day after posting.
